Session 1: Program and Open call for program contributions (February 13, 2023)

  • We have to think about how we want to promote the event, having in mind that different channels also require different communication styles. Having too many channels can be a problem too.
  • Program proposal: Guideline on LGBTQ+ issues on Wikimedia. Minimum guidelines and best practices for documenting LGBTQ+ topics.
  • Set dates and time for the governance group session on QW.
  • For updates please follow the Call for proposals.

Session 2: Volunteering (February 20, 2023)

  • Typically the volunteering part starts when the program is well-defined, so potential volunteers know when they are going to be able to help.
  • Look at how the event is going to be run and the roles we need.
  • Work on a description of the role to make it clear to volunteers what are the position’s attributions.
    • Possible roles: Moderator, Stage manager, Facilitator (chats and alike), Herald (announcements/central channel), Scriber/Documenter, Mediator.
  • Do a spreadsheet where people can write the times when they can volunteer.

Session 3: Local partners for in-person nodes (February 27, 2023)

  • The official local node documentation is being prepared to promote on Wiki and potential partners.
  • Core dates for QW are May 12, 14 and 17. Any other dates around it for local nodes are great, but overlapping with one or two of those is ideal.
  • If in line with QW main program, the event is up to local organizers.
  • Think about the possibility of a small event, with 2-4 people.

Session 4: FLOSS and commercial software options (March 13, 2023)

  • For registration and on the first day of the conference, we will be using Zoom
  • For days 2 and 3, we can diversify and use Jitsi or BigBlueButton
  • For notes, Etherpad will be our option
  • Streaming strategy still needs to be defined, but most likely OBS streaming to YouTube or/and Telegram
  • Social interaction will be done on Telegram and Mastodon, Zoom chat will not be focused
  • We will run technical tests with speakers a week prior to the conference

Session 5: Translation and interpretation (March 22, 2023)

  • Ideally, program and activities descriptions should be translated to AR, FR, JA, PL, RU, SH, ES, TR, ZH, HI, PT
  • Slides presentation translation
    • Slides will be translated (primarily to English, Spanish, French and German, more if we have volunteers)
    • Slides will be in a single language, and a link for translated versions will be shared in the chat
    • A template will be sent to the presenters to make translation easier
    • The organizers should commmand the slides when presenting, avoiding technical stress for the presenters
  • There should be full parity for English and Spanish in terms of interpretation
  • If there is a big language group that registers, we can add interpretation for that language
  • Telegram offers automated translation for paid accounts and it could be an option for interaction during the sessions
  • There will be a promotional video for the conference in Spanish

Session 6: Social/cultural ideas (March 27, 2023)

  • Similar to last year, there will be poetry reading
  • Options for fun activities are: puppets theatre, watch-party, workshop on gif-making for LGBTQ+ topics, interpretation games and Wikiracing
  • Illustrating a story with AI generated images
  • For in-person nodes: presentations, edit-a-thons

Session 7: Promotion, Access and Outreach (April 13, 2023)

Session 8: Nodes, Partnerships and Program (April 19, 2023)

  • The program is almost finished and should be publicly out soon
  • As for video conference software options apart from Zoom, BigBlueButton is recommended for workshops and for quick/unconference style sessions Jitsi could be used
  • Nodes are being planned, organizers should provide information on location, dates and time for the events. Meetings can be scheduled around May 12-17 and founds can be provided.
  • No objections to Telegram using as the main communication channel for conference preparation
  • Integration between remote and in-local participants is something to be investigated

Session 9: Spanish language info session focused on Latin America (April 27, 2023)

  • Translation team is ready and work has started
  • Plans were discussed to organize nodes in various Latin American countries, including Argentina, Colombia, Mexico, and Uruguay
  • Discussed in-person activities promotion and tailoring activities to fit specific communities
  • Nodes should be in-person, as virtual participation is available in the main conference
  • Funding was discussed as being available for those who wanted to organize nodes, and it was suggested that coordination with user groups could be beneficial
  • Bilingual sessions (English and Spanish) will be available during the conference
