2018 plan for user group activities - implementation discussion[edit]

Engage with libraries in communities with historically low participation in Wikimedia projects[edit]


  1. We need to recruit people who speak other languages fluently. It's nearly impossible to work with marginalized communities without being fluent in other languages in my experience. I'm in El Paso, TX and Hispanic communities are often underserved. However, if you aren't bilingual in English and Spanish, you are not going to be as successful in your efforts. As for myself, I speak a little Spanish and have to bring in people who are fluent to help me in my outreach efforts. So that's my idea. Megalibrarygirl (talk) 18:17, 15 July 2018 (UTC)

Serve as ambassadors for the idea that Wikimedia work is business as usual in libraries by sharing case studies and communicating the benefits of engaging with Wikimedia[edit]


  1. My own experience in public libraries is just to do it. And by that, I mean, set up editathons (I usually partner with the History Museum next door). Talk about Wikipedia whenever you can. Show fellow librarians (especially in your archives) how their resources can become more visible by writing articles about local history. It's a slow burn, but worth it. As a library director type, I've found that most librarians and library leaders don't realize how much community engagement statistics are available from Wikipedia on many levels (groups, GLAM projects, individual articles). Also, it is important to know how much referral traffic to your library website comes from Wikipedia and track important topics in your institution's collection. I've been sharing this for my institution. So, let's share this data for other individual libraries. Perhaps, the user group could host a survey to ask what percentage of referral traffic to your library website comes from Wikipedia? TeriEmbrey (talk) 14:32, 16 July 2018 (UTC)

Wikimedian in Residence at the Scottish Library and Information Council[edit]

Hi! I just wanted to introduce myself. I'm the Wikimedian in Residence at the Scottish Library and Information Council and you can find out more about my project on my Wiki GLAM page Wikipedia:GLAM/SLIC. My role is to work across all the public libraries in Scotland to establish public libraries as quality content creators in the digital sphere, and to provide open access to freely usable content about Scottish culture via Wikipedia. The residency started in August 2017 with my colleague Sara Thomas (WMUK) and I took over from her in May 2018. I'm currently helping public libraries access training and kickstart their own Wikipedia projects in a number of locations across Scotland. I've been following the work of Merrilee and Wikipedia + Libraries project, it's given us some great resources to tap into. I also wanted to flag that we'd like to use the Wiki Loves Libraries campaign in October to activate a number of Scottish Libraries to run Wikipedia events or create new pages on Wikipedia. Hi @Rachel Helps (BYU):! Yes, I know Wiki Loves Libraries died out back in 2014, but we'd be keen to bring it back (maybe as a small pilot in Scotland?) because we think it's a great initiative and for me it would fit in well with my project. So I'm throwing it out here to see if there are any objections and also to see if anyone would like to take part in it outside Scotland. @Merrilee: has been doing a fantastic job of training up librarians in the US, so maybe they would be interested in a cross-Atlantic collaboration? Rachel Helps (BYU) The Wiki Loves Libraries campaign used to run throughout October with events culminating around Open Access Week, which this year will be from the 22nd till the 28th October. The idea is to get as many libraries as possible taking part in Wikipedia events and promoting Open Knowledge, which ticks all the boxes for my residency. Delphine Dallison if you are doing editathons with libraries in the area, that's awesome. Would you be interested in partnering with Women in Red do some virtual work? (We'd run all the virtual stuff on our end.) We also help editors clean up references and can guide newbies. The only catch is that we focus on women, women's works and people who are in gender minorities. But I don't think we've focused on Scotland in a while. Hi Megalibrarygirl! So one of the objectives of my residency is to promote the creation of content of underrepresented topics, which falls under two categories: content about Scottish culture and content about women. Although we haven't run yet any Women in Red events per say, I promote it during every training session and it's part of the metrics I get measured on. Ewan McAndrew also runs monthly Women in Red editathons in Edinburgh as part of his residency at the University of Edinburgh. At the moment, I'm letting the libraries choose the topics they wish to work on, but it's good to know that I can offer them the opportunity to partner up with people like you if they want to run a specific Women in Red event in future. We might have one of those coming up in October on the Isle of Skye, looking at the history of Suffragettes from the island and the surrounding area. I'll keep you posted once I know more. Notification of User Group Expiration - Renewal pending submission of reporting[edit]

Greetings, This is a notification to bring to your attention that your organization is currently past due on its required annual reporting. Wikimedia User Groups are required to submit an annual activity report covering the entirety of the 12-month agreement period in order to prompt review for a renewal. Reports must be written in English, posted to meta, and linked on the meta Reports page. This page is used to track how organizations and groups are meeting reporting requirements described in their agreements with the Wikimedia Foundation (e.g. chapter agreements, thematic organization agreements, user group agreements). It is the central place where affiliates can add reports about their activities, share their plans, and even news or social media channels with the wider movement. When new reports are available, organizations and groups should add them to this page to keep their columns up to date.

As noted on the meta Reports page, your organization’s 2016-2017 annual reporting became past due in July. Please be sure to

  1. Post your 2016-2017 annual reporting to the meta Reports page as soon as possible to return to compliance with your user group agreement.
  2. Check that your group’s page is also up to date with past report links for historical record-keeping, and
  3. Please send an email to Wikimedia-l in order to share with a movement-wide audience.

Applied for Wikimedia Foundation grant - seeking comment and support[edit]


Since March 2018 I have been Wikimedian in Residence (Wikimedians in Residence Exchange Network) at the University of Virginia. Among other things I organize collaborations with the library. Some notes on my projects are at University of Virginia.

In the above proposal I am assisting some librarians, researchers, and our copyright lawyer in requesting US$15,000 from the Wikimedia Foundation in the November 2018 call for projects as described at Grants:Project. With this money the library would, in summer 2019, develop a tool kit and event package for more libraries to celebrate Public Domain Day and to incorporate Wikimedia engagement into their program. We will be hosting a Public Domain Day event of our own with Wikimedia engagement in January 2019 to get experience before starting the grant funded project.

HighBeam Research shutting down[edit]

Hi everyone!

Does anyone have a good idea about how Wikipedia will be affected by HighBeam shutting down? I'm assuming links will be broken and it might be important to start making sure citations from HB are complete enough to track down in other places for verification.

@Megalibrarygirl: We've been chatting to both Highbeam/Cengage and Internet Archive for a little while to figure out a good solution to this. Cengage were able to give us 7000 (out of 40,000) URLs that can be directly replaced by a Cengage URL containing the same record, and IA are now looking into crawling the remaining links so that we can add archive URLs. 2018 Affiliations Committee call for candidates[edit]

This is an update from the Wikimedia Affiliations Committee.

The Affiliations Committee – the committee responsible for guiding volunteers in establishing Wikimedia chapters, thematic organizations, and user groups – is looking for new members!

The main role of the Affiliations Committee is to guide groups of volunteers that are interested in forming Wikimedia affiliates. We review applications from new groups, answer questions and provide advice about the different Wikimedia affiliation models and processes, review affiliate bylaws for compliance with requirements and best practices, and advise the Wikimedia Foundation Board of Trustees on issues connected to chapters, thematic organizations and Wikimedia user groups.

The committee can include up to fifteen members, roughly half of whom are selected every twelve months for staggered two-year terms. Those joining the committee during the current process will serve a two-year term ending in December 2020.

Key skills

Being a part of the Affiliations Committee requires communication with volunteers all over the world, negotiating skills, cultural sensitivity, and the ability to understand legal texts. We look for a healthy mix of different skill sets in our members, including the following key skills and experience:

- Willingness to process applications through a set, perhaps bureaucratic process.
- Readiness to participate in political discussions on the role and future of affiliates, models of affiliation, and similar topics.
- Availability of up to 5 hours per week, and the time to participate in a monthly two-hour voice/video meeting.
- International orientation.
- Fluency in English.
- Ability to work and communicate with other languages and cultures.
- Strong understanding of the structure and work of affiliates and the Wikimedia Foundation.
- Knowledge of different legal systems and experience in community building and organizing are a plus.
- Skills in other languages are a major plus.
- Experience with or in an active affiliate is a major plus.
- Strong track record of effective collaboration (such as evidenced skills at facilitation, mediation, negotiation, and so forth) are a major plus.
- Willingness to use one's real name in committee activities (including contacts with current and potential affiliates) when appropriate.

We are looking for people who are excited by the challenge of empowering volunteers to get organized and form communities that further our mission around the world. In exchange, committee members selected will gain the experience of supporting their world-wide colleagues to develop their communities as well as personal development in guiding organizational development, facilitating affiliate partnerships, and professional communications.

Selection process

As a reflection of our commitment to openness, transparency, and bilateral engagement with the Wikimedia community, the 2018 member selection process will include a public review and comment period. All applications received by the committee will be posted on Meta at Affiliations Committee/Candidates/December 2018, and the community will be invited to provide comments and feedback about each candidate.

At the end of the public comment period, the applications will be voted on by the members of the committee who are not seeking re-election, taking into account comments put forward by the committee's members, advisors, Wikimedia Foundation staff and board liaisons, and the community. A final decision will be made by mid-January 2019, with new members expected to join later that month.

How to apply

If you are interested in joining the committee, please post your application on the nomination page and send an email announcing your application to by 31 December 2018. Your application must include the following information:

- Your full name and Wikimedia username
- A statement describing your relevant experience, skills, and motivation for joining the committee.
- Answers to the following three questions:

  1. How do you think affiliates work best together to partner on effective projects and initiatives?
  2. What do you see as the role of affiliates in the Wikimedia movement in the next three years?
  3. What do you feel you will bring to the committee that makes you a uniquely qualified candidate?

Hello everyone, a quick update on the 2019 steering committee election for the Wikimedia and Libraries User Group:

Timeline for nominations, vetting and voting[edit]

  • Nominations are until 13 February 2019 (apologies for the late ping). Candidates will be lightly vetted by the steering committee and the TWL team (excluding those who are candidates) to help form a well-functioning committee.
  • Vetting will happen from the 14th up to 18th February 2019.
  • Voting will begin on the 19th of February and end on the 28th of February.
  • To be able to vote, editors must have joined the user group before the 28th of February.
  • Results will be announced on or before 3rd March.

Help us make Wikipedia talk pages more accessible to more participants[edit]


Our team at the Wikimedia Foundation is working on a project to improve the ease-of-use and productivity of wiki talk pages. As an affiliate, I can imagine you’ve run into challenges explaining talk pages to first-time participants, or it is an consultation that would interest your members.

We want all contributors to be able to talk to each other on the wikis – to ask questions, to resolve differences, to organize projects and to make decisions. Communication is essential for the depth and quality of our content, and the health of our communities.

We're currently leading a global consultation on how to improve talk pages, and we're looking for groups that can discuss and report on their experiences using (or helping other people to use) wiki talk pages. We'd like to invite you to participate, with the user groups that you belong to. Hi everyone, hope all is fine with you!

The next weeks will be intense, as affiliates figure out their participation in the process that will soon select 2 people for the Wikimedia Foundation Board of Trustees. Since new Bylaws established that the user groups are for the first time going to be involved in such process, a lot more support than before is certainly going to be necessary, among other things, for big and healthy conversations on the topic. Hence, please encourage members of your group to become a complementary facilitator, or sign up yourself! You can add yourself to the list on Meta or reply to me to flag availability. One person from the facilitators group should soon be selected to liaise with the Foundation Board’s Chair, María Sefidari, on behalf of all affiliates, and it may be wise to also find a deputy for them.

Finally, if you can think of any huge obstacles that would prevent your group from participating to the process (for instance, a language barrier, or lack of good decision-making mechanisms, etc.), please reach out to me directly: it is really important that we hear about them as early as possible. Update on the Affiliate-selected Board seats 2019 process[edit]

Hi all,

The Election Facilitators met on Friday, April 5. We finalized the resolution, which is now frozen. The Board of Trustees of the Wikimedia Foundation will be asked to approve the resolution.

We have made two small changes to be more inclusive. We extended the date for compliance with AffCom reporting and being in good standing to May 7 to allow time for as many Affiliates as possible to be current with these requirements. The Election Facilitators adjusted the language in case a quorum is not met during the election.

On the talk page of the resolution one issue was raised. The issue looks like to be about a possible candidate. Affiliates will have ample time to discuss the merits of candidates during nomination time, screening time, and they can cast their votes on candidates. The Election Facilitators didn't see the necessity for this change, and left the resolution on this point unchanged.

The Election Facilitators will be Abhinav Srivastava, Lane Rasberry, Jeffrey Keefer, Ad Huikeshoven, Neal McBurnett and Alessandro Marchetti. We will welcome more volunteers to assist us in this process, to reach out to the diversity in language and gender in our communities, and do so in an advisory role.

The nomination period opens on April 15. We are going to prepare nomination pages on Meta. You can expect a call for nominations. There is a draft call, including a candidates' profile section with non-binding guidelines about experience and characteristics for nominees. You are welcome to add your insights, or discuss on the talk page.

Erica Litrenta (WMF staff) supports us in this process. She will reach out to all affiliates through mail and other channels to make sure we are up to date with (user)name and contact details of your primary contact.

#1Lib1Ref May 2019[edit]

As you might've already known, #1Lib1Ref is happening again in May!

#1Lib1Ref, the annual campaign where librarians add references to improve Wikipedia, is back for another round, running from May 15th to June 5th, 2019.

  • Not every part of the world is in sync, more particularly the southern and northern hemispheres. While the January version of the #1lib1ref campaign works well mostly for the northern hemisphere, it doesn't for the countries below the equator. Hence #1lib1ref May! This is a great expansion of the event and it means that there is another opportunity to make Wikipedia more factual and verifiable by leveraging the expertise of librarians around the world.
  • While this campaign encourages participation from the southern hemisphere, we would love for you to join us even if you participated in the January campaign – after all, Wikipedia is only as strong as its references! So whether we call this 1Lib1Ref May, 1Lib1Ref for the Southern Hemisphere, or 1Lib1Ref Strikes Back, the point is the excitement is building again, and we'd like you to be a part of it.
