Wikimania 2016 bids/Esino Lario/Procedures/How to organize a Wikimania Esino Lario site visit

From Meta, a Wikimedia project coordination wiki
This is a Wikimania Esino Lario procedure.
Problem: Making sure anyone can easily visit Esino Lario and the buildings at the centre of the event.
Solution: Checklist and references to the relevant documentation in one place.

What problem does this solve?[edit]

For the planning and implementation of Wikimania Esino Lario the team often needs to visit Esino Lario and the buildings which will host the conference. We need to store and provide all the information and references in one place so anyone can prepare it, contribute to it and do it quickly.

What is the solution?[edit]

If your site visit is also a public event, please have a look to How to organize a Wikimania Esino Lario meeting. In general is a good idea to inform others you will have a site visit (to document it but also to invite others to take advantage of the visit).

Issue Answer
Do you really need to make a site visit? You can already find online quite a lot of significant documentation about Esino Lario. You can browse the list of buildings and access further documentation (the blue link takes you to a summery and links to plans and images essentially on Wikimedia Commons.
How long does it take for a site visit?
  • For a tour of the village it takes around 1h30 (the visit can take place before or after a presentation)
  • For an overview of the meeting rooms consider 2h30
  • If you also want to see also some examples of accommodation consider a visit of 4 hours.
Do I need authorizations? The majority of the buildings used to host Wikimania Esino Lario are public buildings. You need an authorization in particular to visit the primary school (which is managed by the school district); for the other public buildings, it is sufficient to inform the reference person and having him/her opening the door. Of course to visit examples of accommodation you need to arrange a meeting with the owners.
Who can provide me the authorization to visit a building and opening it? You need to contact the reference person of each venue (to ask permission to visit, and to have someone there with the key). You find the reference person of each venue in a google document (if you need access to the document you can ask Iolanda Pensa or Ellie Young)
Is there anyone who can guide me for the visit? People who can help are Carlo Maria Pensa, Tecla Bertarini, Ester Maglia, Elisa Dell'Era, Simona Dell'Era, Giovanni Dell'Era, Serena Nasazzi, Giovanni Viglienghi... you find their contact information in a google document (if you need access to the document you can ask Iolanda Pensa or Ellie Young)
